This Privacy Policy explains how ReviewerOne ("we," "our," or "us") collects, uses, and protects information and/or data when you use our services and platforms.

ReviewerOne is designed with the peer reviewer in mind and includes services and resources that aim to enhance the peer review process and support peer reviewers.

We believe in protecting the privacy and security of our users, upholding the confidentiality of scholarly research, and supporting the ethical and responsible use of AI in scholarly publishing and peer review.

Scope of this policy

This Privacy Policy applies to:

  • The ReviewerOne Website
  • The ReviewerOne Peer Review Platform/System
  • The Reviewer Academy
  • The Reviewer Community/Forum
  • ReviewerOne social media accounts and activity
  • All modes of communication with users from ReviewerOne, including emails and messaging

These are collectively referred to as "ReviewerOne." "You" and related terms refer to users of ReviewerOne.

Information collected from and about users

We may ask you to provide certain categories of information as part of registration for ReviewerOne and for use of our features and services. This may include, but is not restricted to:

  • Peer review related preferences
  • Usage data, including IP address, browser type, device information, activity and session data, timestamps, usage, and activity

We process your data solely for the purpose of providing our services. Data is processed during your session and automatically deleted when your session ends.

How we use your information

  • Support peer review of manuscripts on the platform, AI evaluations, and platform functionality.
  • Generate assessments and analytics related to language, scope, and integrity.
  • Improve, maintain, and personalize our services.
  • Communicate important updates, system messages, or account notifications.
  • Enforce our Terms and Conditions.
  • Comply with legal obligations.

Protection and retention

We do not:

  • Share your personal information with third parties unless legally required, and only after prior consent.
  • Store your information or uploaded files after your session ends.
  • Store your personal identifiers or files on our servers after your session ends.

We employ sophisticated encryption and security protocols to safeguard your information during the session. While files are temporarily processed, they remain secure and private during processing.

Legal basis and GDPR/UK GDPR rights

If you reside in the EEA or the UK, we process your personal data under:

Protecting confidentiality and intellectual property

The privacy and confidentiality of the research entrusted to ReviewerOne is paramount. Our systems are designed to prevent unauthorized use or reinforcement learning on uploaded materials.

This includes, but is not limited to:

  • The content of manuscripts uploaded or configured for peer review, including text, figures, tables, and references.
  • Files additionally uploaded on the system, such as supplementary data or multimedia files.
  • Metadata such as titles, abstracts, keywords, and author details.
  • AI-generated analyses created by the peer review platform to assist reviewers in identifying major concerns in manuscripts.

All files are deleted automatically at the end of each user session. No uploaded research or content is used for platform training.

User chat logs may be saved within accounts for convenience, but sensitive documents never persist beyond the session. This policy safeguards user privacy and the integrity of scientific work.

Updates to this policy

ReviewerOne reserves the right to update this Privacy Policy as necessary to comply with legal and operational changes.
